Privacy and deletion

Managing active sessions, product analytics, and permanent account deletion.

Your account's Privacy page (/account/privacy) manages your sessions, your account's deletion and, where the deployment offers it, your analytics preference. How long every kind of data is kept is on Data retention, and what each deletion removes on Data deletion.

Active sessions

The Active sessions panel lists every session of your account that has not been signed out or revoked, one that lapsed after 30 days unused included: a device label derived from the browser or CLI (such as Chrome (macOS) or Telmoni CLI (Linux)), when each session started, and when it was last seen.

You can end any session but the current one from here; the device is refused at its next request, and a console tab left open there is sent to sign in within 15 minutes. To end your current session, sign out from the user menu.

Product analytics

A Data collection switch appears on this page only on a deployment whose operator has configured an analytics provider (ANALYTICS_INGEST_URL and ANALYTICS_WRITE_KEY in the configuration reference). It is off by default and records your choice. The console sends nothing to that provider, whatever the switch says: its one analytics event, written with your user ID at every browser sign-in, goes to its own operational log and is not sent on. Where no provider is configured, the page has no switch.

Console agent data

A person's conversations with the console agent (their questions and its answers) are visible only to them, and are kept for 90 days after the conversation was last used.

The agent's search index holds copies of the audit log, activity feed notices, connector deliveries, each person's own answered questions and, where the deployment indexes it, the documentation. A deployment indexes its own documentation unless DOCS_CORPUS_URL is off, the hosted service included. Each copy is kept no longer than its source's own retention window:

  • Audit log: 730 days
  • Activity feed notices: 90 days
  • Connector deliveries: 30 days
  • Conversations: 90 days, visible to their author only
  • Documentation: Retained until updated or removed from the published corpus

Each question is sent to the model provider configured for the deployment, together with the earlier turns of the conversation (up to 20 messages) and whatever the agent's tools read to answer it: the passages it retrieved, and the member roster, connectors, delivery logs, or audit events it looked up. Search queries and the indexed text go to the configured embeddings endpoint, and to the rerank endpoint if one is set. On the hosted service, the model and the embeddings are Google's Gemini API, on Google's paid terms, as the Subprocessors page states.

Deleting an organization

Only an organization Owner can delete an organization. Deletion is initiated from the Danger zone in the organization's Settings page (/{organization}/settings):

  1. Request a 6-digit confirmation code, which is emailed to your address and remains valid for 15 minutes.
  2. Enter the confirmation code to confirm deletion.
  3. Access ends immediately for all members, and all API keys stop functioning.

The automated deletion sweep then permanently erases the organization, its projects, its agent conversations and search index, and everything else it held, usually within the hour; its projects' telemetry is hidden then and off the disk by the next night's rotation. There is no restore window and no undo. Its audit chain is kept.

Deleting your account

Account deletion is permanent and performed from the Danger zone on your account's Privacy page (/account/privacy).

Ownership check

Account deletion is refused while you own an organization that has other members. You must first either:

  • Transfer ownership to an Admin.
  • Remove all other members from the organization.
  • Or delete the organization from its settings page.

Deletion procedure

  1. Select Send confirmation code to receive a 6-digit code by email (valid for 15 minutes). Five wrong guesses burn it; Resend code issues another.
  2. Enter the code and select Permanently delete my account. The ownership check above is made at this step. Your access ends at once, and the erasure follows, usually within the hour.

What happens when your account is deleted

  • Organizations you exclusively own: Marked for deletion at once, with their API keys revoked, and purged by the deletion sweep after the same 15-minute grace as any organization's deletion.
  • Other organizations you belong to: You are removed from all other organizations and projects. Their audit logs record your departure.
  • Audit log exports: Every export you started is deleted, files and all.
  • Console agent: Deletes your conversations with the agent and your own index rows, deletes the index passages that quoted your address or your name, and rewrites you to "a former member" in other people's conversations. A one-word display name is not searched for, since it would match other people.
  • Notifications: Feed notices referencing your account are anonymized (e.g., "A former member joined the project").
  • Authentication: Your user record is purged and all your sessions end immediately. On a self-hosted deployment, a password account's hash goes with it, while an OpenID Connect provider keeps its own record of you; on the hosted service, your account at its identity provider is deleted too.
